Planning a wedding involves many moving pieces and critical decision-making. One of the key pieces of this puzzle is when to send out your stationery and when the design process begins. While it’s important to follow key dates and timing, it’s equally crucial to account for your custom stationery’s design and production process. These phases are not just a formality but a vital part of ensuring the quality and uniqueness of your stationery. Paying attention to the duration required for the design, proofing, revisions, and production will help you avoid rush fees and reassure you about the quality of your stationery. This approach will allow you to enjoy the creative process thoroughly and not stress about the timing.

As your guide, I will expertly lead every Sugar Pear Design couple through the design process, from concept to completion. Each couple’s planning stages—save-the-dates, invitations, and day-of elements—will include a curated timeline. This timeline is not just a set of dates, but a roadmap that will keep us organized and you in control of your wedding stationery.

As a general guideline, I have recapped below the key timeframes for mailing your save-the-dates, invitations, and thank-yous, including the duration allotted for the design and production process. This timeline is designed to give you ample time to plan and execute each step, ensuring a stress-free and enjoyable planning process.

Once the wedding date, venue, and guest lists are accounted for, I recommend mailing your save-the-dates 9-12 months before your wedding date. Your save-the-dates request that your guests block your date on their planners and join the celebration.

📅 PRO-TIP: To avoid getting lost in the holiday shuffle, I suggest holding off on mailing your save-the-dates between mid-November and the end of December. You’ll find that guests will set them aside to come back to them later, only to have them misplaced or forgotten.

Your wedding invitations and other stationery pieces will serve as visual storytellers, setting the tone for your occasion. The invitation itself is the most essential piece of your wedding stationery suite—let it be the star of the show! Your wedding invitation’s design and production processes also require the most time.

Mail your invitations 12 weeks before your big day. This gives your guests enough time to RSVP and plan travel or accommodations if necessary. It also lets you plan more accurately for the design and paper goods needed for your wedding day. 

Sending invitations too early could result in misplaced invites or forgotten RSVPs, as guests may not prioritize responding when the event is far in the future. On the other hand, sending them too late may leave guests scrambling to rearrange their schedules, and you, too, as you wrap up what is needed for your wedding day.

📅 PRO-TIP: Remember, whoever receives a save-the-date should also be formally invited, even if they have noted that they cannot celebrate with you. Conversely, sending an invitation is acceptable if they did not receive a save-the-date.

If you’re hosting a destination wedding or your guest list includes many out-of-town attendees and save-the-dates were not sent out, consider mailing your invitations closer to 16 weeks in advance to ensure your guests have plenty of time to prepare.

Be sure to address your save-the-dates and invitations to only those in the household whom you intend to invite, including (or excluding) children or plus-ones.

Confirm with your venue and caterer when a final headcount is required. Allow yourself ample time to contact those guests who have not replied by your requested response date—which I recommend 6 weeks before your wedding. If they can partake, and you are having a plated dinner, collect each guest’s entrée selection.

Timing is everything when planning and designing elements for your wedding day. Items such as menus, place cards, escort cards, programs, welcome signs, and seating charts play an essential role in your event’s function and aesthetic. Starting to discuss these details at least 3-4 months before your wedding will help ensure a smooth design process.

Allow ample time to confirm final guest counts and menu selections. The final headcount tally will determine your seating arrangements and, thus, the quantities for your escort or place cards, table cards, and menus. Because many of these elements rely on finalized details — such as headcount and meal choices — it’s crucial to request a reply-by date at least six weeks before your event.

In addition, we’ll allocate ample time for installation pieces like a seating chart or wallpaper for a custom bar. These elements often require production times of six weeks or more, so discussing them in advance is essential.

This timeline ensures revisions, printing, and delivery time, avoiding last-minute stress and rush order fees. Remember, these thoughtful details are functional and beautiful, tying your wedding style together and leaving a lasting impression on your guests. Planning ensures they’re as perfect as the rest of your special day!

After creating and designing a tailored and cohesive design for your save-the-dates, wedding invitation, and day-of elements, don’t let your thank-yous be an afterthought! They should continue with the same cohesive design. This not only maintains the aesthetic of your wedding but also serves as a final touch that leaves a lasting impression on your guests.

Timing is key when mailing out your wedding thank-you cards, as they are an essential way to express gratitude to your guests. You should send out thank-you notes within three months of your wedding day. This timeframe allows you to settle back into routine after your celebration while ensuring your guests feel appreciated.

For gifts received before the wedding, such as engagement or shower presents, aim to send thank-you notes within two to three weeks of receiving the gift. For all other gifts, sending thank-you notes within three months keeps your appreciation both timely and meaningful. Taking the time to include a personalized message for each guest makes your cards more heartfelt and memorable.
